STUDIO MANAGER

OVERVIEW

  • Studio Manager (initially virtual with a view to transition to an in-office role in NW/ West London)

  • 25 hours per week Mon-Fri 09:30-14:30, with potential to move to full-time

  • Start Date: ASAP

  • Rate: Hours and rate by negotiation

 

As Studio Manager, you will sit at the heart of the agency and you will be responsible for the planning and day-to-day workflow management of our (currently virtual) team. Your priority will be the effective running of the studio, and you will work collaboratively with all members of the team, at all levels. You will focus on improving the quality and delivery of our work and you’ll get to know everyone’s talents to ensure that we’re making the best use of our ability at all times.

You’ll oversee the existing admin & HR processes as well as scope to develop and input new processes in order to ensure that the team is truly focused on generating new business leads, responding to pitch briefs and delivering successful live events & projects.

SCOPE OF WORK

  • Availability for daily team meetings 10-11am

  • Studio/ office move coordination inc sale of assets, storage consolidation, new premises research &

  • negotiations, furnishing & set-up, office supplier sourcing e.g. photocopier, phones, water - source

  • competitive service provision

  • CEO email access and Diary Management - Team meetings, family scheduling e.g. school pick-ups and

  • Prospective and current client follow-ups and diary management

  • Team Meeting Minutes & Management of team in meeting Deadlines via phone/ email and Monday.com

  • Team Resource Scheduling: Diary management for meetings, design & production, pitches and projects and new business.

  • Database administration - Smartsheet platform management inc reformatting systems, regular reviews of data

  • Company data and filing systems management - Google Drive: Improving filing and path finding, managing archives, establishing and enforcing data protection processes

  • Oversee collection and data storage of signed supplier and client NDA’s, contracts, T&Cs and agreements

  • Team HR diary management - appraisals & incentive R&D e.g. staff gifts & entertainment such as Xmas virtual event

  • Team communications coordination including email and Whatsapp Groups

  • Tech support coordination to ensure efficiency across the team, liaising with external tech consultants and

  • review of hardware/ software and data storage capacity

  • Support with new Business, supplier and market R&D as required

  • Support with social media content sourcing and copy writing as required

  • Provide support to finance manager: Manage the team on timely submission of expenses, oversee

  • freelancer scope of work/ deliverables/ invoicing, supplier rate card reviews, support as required with supplier quote sourcing & analysis, PO and invoice creation

SKILLS

  • Confident & experienced in using GSuite (Google Docs, Sheets & Slides)

  • Studio/ Office Management experience would be preferred

  • Experience with diary management and managing teams of 10-20 people

  • Confident with the following software: Microsoft office suite (specifically Excel) and Outlook for email

  • Strong time management and organisation skills
