From event logistics to production coordination, our team ensures every experience is delivered with precision, creativity, and a smile.

From Vision to Blueprint

Every great event starts with an idea. But turning that idea into a full-blown immersive experience? That’s where the magic and the planning happens. Event Producers work closely with clients, creative teams, and vendors to craft a vision that aligns with the brand’s goals and messaging.

“Concept development is where creativity thrives,” says Jessica Ktorou, Senior Event Producer in London at Kit and Caboodle. “It’s about capturing the client’s goals and imagining how we can turn those into an immersive experience.”

Take Fleet Street Quarter’s Fusion Games, for example. What began as a simple idea to celebrate community and sport transformed into a dynamic event. Activities like wallball, interactive urban circuits, and colourful pop-up installations were designed to be inclusive, fun, and memorable. This stage is all about dreaming big and bringing those dreams into focus.

Planning: The Backbone of Every Event

Once the vision is clear, it’s time to roll up our sleeves and get to work on the logistics. Planning is where the nuts and bolts come together - timelines, budgets, supplier coordination, and about a hundred contingency plans.

“Every decision, from the choice of lighting rigs to the type of seating, contributes to the event’s success,” explains Andy Walker, Production Director at Kit and Caboodle. “We’re not just managing logistics, we’re building the foundation for a seamless experience.”

For our Brookfield Properties installations, like the glowing Trumpet Flowers and GLOW by the talented artist Amigo and Amigo, this stage was crucial. Every light, every sound, and every space had to harmonise perfectly to create an immersive experience that not only looked stunning but also resonated deeply with visitors.

At Kit and Caboodle, we place great importance on collaborating closely with our clients, ensuring their vision and insights shape the outcome of every project. The success of Nordic Brights at the Victoria Centre, created in partnership with Savills, is a testament to this approach.

The client was particularly enthusiastic about maximizing interaction within the event space to keep guests engaged from start to finish. In response, we incorporated a variety of interactive elements, from the snowball challenge to the sleigh ride, ensuring an immersive and memorable experience.

This collaborative effort resulted in an impressive 96% customer satisfaction rate, highlighting the power of client-focused design and experiential creativity. As Andy, our Production Director, puts it: "Nordic Brights would not have developed as it did without the client's insight."

Bringing the Vision to Life

This is where the adrenaline kicks in. As the event day draws closer, the focus shifts to execution. This phase is all about taking the plans and turning them into reality. From overseeing installations to last-minute troubleshooting, it’s a high-energy time where everything starts to come together.

“Execution is where the adrenaline kicks in,” says Jessica. “There’s always something unexpected, but that’s where the magic happens, turning challenges into opportunities.”

At Club Curling 2024, we recreated neon energy inspired by God’s Own Junkyard. From sourcing iconic neon pieces like the “Thrills” sign to designing vibrant curling lanes, every detail was fine-tuned to create a nostalgic yet electrifying experience.

Reflection: The Learning Never Stops

The event might be over, but the work doesn’t end there. Post-event reflections are just as important as the planning stages. This is the time to gather feedback, celebrate successes, and identify areas for improvement.

“We learn something new with every event,” says Andy. “Reflection is key to evolving and exceeding expectations next time.”

It’s also the perfect time to acknowledge the effort that went into making the event a success. Whether it’s sharing highlights with the team or simply soaking in the joy of a job well done, this phase is about growth and gratitude.

Event producers are the unseen architects behind moments that inspire, connect, and leave lasting impressions. It’s not just about planning or logistics, it’s about creating experiences that bring people together, spark joy, and make memories that last a lifetime.

As one producer puts it, “We don’t just manage events; we craft experiences.”
